ROI Property Management (together with its subsidiaries and affiliates, “ROI Property Management”, “us”, “our”, “we”) is committed to maintaining the accuracy, confidentiality, and security of personal information in its custody or control.

This Privacy Policy explains how we collect, use, disclose, retain, and safeguard personal information in the course of providing residential property management services, in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), applicable Ontario privacy laws, the Residential Tenancies Act, 2006 (Ontario), and the Ontario Human Rights Code.

2. Accountability and Privacy Officer

ROI Property Management is responsible for all personal information under its control and has designated a Privacy Officer to oversee compliance with applicable privacy legislation, respond to access requests, investigate complaints, and manage privacy-related incidents.

The Privacy Officer is responsible for ensuring that personal information is handled in accordance with this Privacy Policy and applicable legal requirements.

3. Definition of “Personal Information”

In this Policy, “personal information” means information about an identifiable individual, whether recorded or not.

  • Common-area surveillance footage
  • Limited medical or accessibility information when required

Surveillance systems are used only for safety and property protection and never within rental units.

B. Visitors and Guests

  • Name and resident being visited
  • Common-area surveillance footage

C. Website Users and General Inquiries

  • Information submitted via forms or email
  • Technical data such as IP address and browser type

  • Processing rental applications

Rental decisions are not made solely through automated processes.
